Transactions.

Varieties and types of transactions.

The transaction is a major financial operation. There are three kinds of transactions:

You can also say that the transaction can be of three types: "income", "expense" or "transfer to other account". In other words, if the transaction is not a transfer, it must be either of "Income" or "Expense" category, i.e. obligatory defined. If the transaction is a transfer, than the category can not be specify.

If the transaction is not transfer, then it necessarily belongs to one of the accounts in the Personal Ledger. The Income transaction increases the account balance, to which it relates, and the Expence transaction decreases on contrary.

Attributes of transaction.

Thus, the transaction has the following attributes:

Most of these attributes will be filled automatically or after setting "Payment designation" or "Contact". The "Price", "Amount", "Commission" and "Discount" may be automatically specified after defying a "Contact".

Relations between transaction numeric attributes.

Here is more detailed information on calculations and relationship of "Price", "Quantity", "Commission", "Discount" and "Total amount".

In case if transaction belongs to the "Income" category, then:
"Total amount" = "Price" x "Amount" - "Discount" - "Commission".
In this case, the notion of "Discount" means, how much you're willing to concede (to save) someone who pays you money, described by this transaction. If the "Discount" is specified in percentage, the percentages are taken from the "Price" x "Amount".
The Commission refers to how much money you pay for the operation described by this transaction. If the commission specified in percentafe, than the percentage of commission is taken from the "Total amount".

In case if transaction belongs to the "Expence" category, then:
"Total amount" = "Price" x "Amount" - "Discount" + "Commission".
In this case, the notion of "Discount" means, how much the person to whom you pay money willing to concede (to save). If the "Discount" is specified in percentage, the interest is taken from the "price" x "number".
If the commission is specified in percentage, than the percentage of commission is taken from the "Price" x "Amount" - "Discount".

Transfers from one account to another.

In order to transfer money from one account to another, you must create a transaction of transfer type. For this in transaction you must specify the account to which the transfer to be processed and indicate the "Total amount" to be transered. If it is negative, then the money is transferred from the Account to which one is attached to the account, set to be destination. If the Total amount is positive, then all is exactly the opposite - the money as a result will be transfered from an account transfer to the Account of attachment. In other words, the account balance, to which the transaction is attached will change the value by "Total amount".

When creating and saving such a transaction, the mirror corresponded transaction is automatically created, having the same attributes as original transaction except:

Thus, as a result, the balance of one of the accounts will increase by the amount by which reduced the balance of another account, minus the commission.

Working with Transactions tab.

There are two tables in the canter of "Transactions" tab. These tables show only those transactions that fit the rules defined by filters specified in the upper central part of the window.

The top table holds the list of transactions commited before (and their sub-transactions). For each transaction its date, name (destination of payment), amount and currency is displayed . If the transaction is of component type (split), then by clicking on the triangle to the left of the name, you can expand the list of sub-transactions.

Immediately below the top table the total amount of all accomplished (actual) transactions is shown, respectively to the filter rules.

The lower table contains the planned transaction for the nearest future or on date specified by filters.

Directly under the bottom of the table there is amount of planned transfers and the total amount of planned and actual transfers. All these values are shown with respect to the filters and transactions from the tables are taken into account.

Just below you can choose in which currency to display the amount described above and balance. Balance shows the current status of the account or accounts (accounts are selected on the basis of the filters). Moreover, if the check box "Concider scheduled" is marked, then when calculating the balance the planned transactions will be counted. If the check box "Use filters" is marked, then at calculating the balance only those transactions that meet the conditions of active filters will be counted.

When you select a transaction in one of the described tables, the details of the selected transaction (all the available attributes) will be shown on the right side with the possibility of their editing.

Confirmation of the planned transaction and its transformation into actual.

If you choose the planned transaction from the bottom of the table, then after you click Record button, the transaction chenges from the scheduled to the accomplished (actual). And, if you change the amount of the transaction and it is less than planned, the "Ledger" will give you a notice with the difference and offer a choice of:

Creating a new transaction.

In order to create a new transaction, click on the button "+" below the table in the central part, or press "⌘ N". To add a component part of the transaction - the sub-transaction, click on the button "Добавить суб-транзакцию" or key combination "⇧ ⌘ N".

Tocreate a new transaction or edit an existing one you need to fill in the required fields in the right pane, then click "Record" button or press "⌘ ↩". When you click on "Discard" button or keyboard shortcut "⌘ ESC" all values are reset to its original state, undoing all the changes that your made after choosing transaction or after pressing the button "Record".

Deleting transaction.

To delete the selected transaction, click the button "-" under the list of transactions. When you deletin a parent componed transaction, all its children - sub-transactions will be deleted.

Partial removal of the planned transaction (plans adjustment).

The planned transaction at a certain date can be also deleted by parts (to reduce the planned amount). This is useful when you make payment not immediately but in parts. To do this, select it and in the amount field enter the amount to reduce, then press the delete transaction button "-".

Copying transaction.

You can also create a copy of the selected transaction by pressing the button "Сделать копию". Only the actual transactions (from the top of the table) can be copied.

Editing the Transaction fields

Fields for editing described above in the Transaction Attributes section. First, if necessary, you must specify the date of the transaction (If editing sub-transaction, the date determined by the date of the parent transaction). The current date is substituted automatically for the new transaction.

The field "From Account" is automatically substituted in accordance with the active filters, if necessary, you can specify a different account. Then, after entering the payment designation, the remaining fields are automatically filled with the most relevant data.

If necessary, you can choose the type of transaction, after which only appropriate fields for that type will be shown and the value of these fields will be clarified. In the "Category" field you can choose the category corresponding to the transaction type or enter category manually, pointing the way for all sub-categories, each separated by a ":". If a category does not exist, then when you click "Record" category will be created.

After selecting or entering a "Contact" field values "Price", "Amount", "Quantity", "Commission" and "Discount" can be filled with the most relevant values for the selected "Contact" and "Payment designation", if you have not yet change them.

When you change one of the numerical fields, other fields may correct automatically to fit each other. "Locks" the right of these fields can block the automatic change of the field. Also "Commission" and "Discount" fields can be expressed in percentage or in cash values. You can switch them by pressing the button on the right of these fields.

Group operations on transactions.

You can select multiple transactions (or all), then in the right pane will display the common attributes of the selected transactions. Those attributes that are differ will be marked as "Multiple values". If you change the attribute values and click "Record", then all the selected transactions will beset to the new attribute values.

The set of selected transactions can be removed in one operation by pressing the button "-".

Working with filters.

In the center top of the window showing the active filters. Only transactions that meet all the conditions of all filters are shown in the two tables below.general information about filters and how to use them, you can find in Using filtersarticle.

If the componed transaction meets the filter conditions in part (only some sub-transactions satisfy the conditions), it shows the parent transaction with amount equal to the amount of sub-transactions satisfying and shows all satisfying sub-transactions. If the componed parent transaction satisfies the terms of filters, then it's shown with all its sub-transactions.

The left pane has a list of saved sets of filters. Each record stores the current state of all filters. When selecting records the filters are loaded in the state, which they were saved. To change the name of the saved set of filters, double-click on it. You can add an entry by clicking "+" on the button below the list of saved filters (bottom, left). Then you must specify the name of saved set of filters. To remove a filter set, click the button "-". To resave the current state of the filters under the name of your choice, click the button "Сохранить фильтр".

Interactive graph of the distribution by category.

In the bottom left of the window shows the interactive graph of the distribution by category. In the initial state, it shows the distribution of income and expense. When you hover the mouse on the sector, it is lifted and shows detailed information about it - name, amount, percentage. If you click on it the sector is divided into sub-sectors, reflecting a subcategory (if any). When clicking on the sub-sector, sector of the parent category fills an entire range. And so on. By clicking the arrow in the upper left corner of the diagram turnes to its previous state (rolled one step back). Thus it is possible to navigate by category and view them in a visual way. Bottom of the chart displays a legend - a list of currently visible categories showing the color and percentage from the entire circle. When you hover on an element of legend, the corresponding category is lifted and shows detailed information. In the legend displays only the 5 most important categories, the others are grouped under the pseudo-category of "Other".
